3 Ways Paper Floor Plans are Killing your Productivity

As a CRE professional, floor plans are an integral part of your workflow. Whether you use them in presentations, client meetings, or need to make updates to spaces, you probably use them every day. However, if you’re still stuck using paper floor plans, chances are you’re wasting valuable hours a day digging through filing cabinets or searching for the most up to date floor plans just to get your work done.  

Though it may seem like a small, insignificant factor, – not to mention you’ve probably been managing floor plans like this for a while now – but paper floor plans may be hindering your ability to work efficiently.  When it comes to managing and leasing buildings, your time is extremely valuable.  Printed plans slow you down, but in our fast paced and digital world, you’ll need to keep up. Here are three ways paper floor plans are making you less productive.  

1. They are unorganized 

You most likely store your paper floor plans in a filing cabinet, which can turn into a big unorganized mess over time. Files are more likely to get lost and it can be a pain to track them down. If you’re spending hours sorting through folders or trying to locate misplaced files, you need a better way to store and retrieve your building documents.  Digitized floor plans are more efficient, allowing you to spend less time digging through a filing cabinet or even the pile of papers on your co-worker’s cluttered desk. With digitized floor plans, searching through a digital database to find the information you need can be done with just a few clicks, in a matter of minutes. 

2. They are not easily accessible 

Floor plans that live in a filing cabinet are not ideal when you need to access them ASAP or on the go. Unless you’ve planned to bring a paper floor plan with you to a meeting, paper plans aren’t available 24/7 or wherever you are.  On the flip side, digital floor plans go wherever you do, as they are stored in the cloud.   If a client asks to see a floor plan that you haven’t already prepared, there’s no lag time or need to circle back. Digital floor plans are always ready to be downloaded and shared.  With a better alternative to your paper filing system, you save more time when communicating internally and with clients.  

3.  They are not always accurate 

Another downside to paper floor plans is that they need to be re-saved and re-printed anytime there are changes. That being said, the paper plans you pull from the filing cabinet may not always be accurate or up to date. Because of this, you waste more time making manual edits and correcting errors. The upside of digital floor plans is that they are dynamic.  Data is always up-to-date and imported directly from your accounting systems. You can get more accomplished when you aren’t double checking for errors or inconsistencies.
